EMR Software Programs eliminated early not making our short list

The following is the complete list of the twelve software programs that were eliminated, along with their pricing.  Again, it should be noted that as part of our telephone survey we asked about a discount and surprisingly few were offered to organizations like ours, a nonprofit run by volunteers providing the service at no charge.

AestheticPro

Eliminated this software from consideration after the second demo for a number of reasons. One being price, $250 per month, per location. With our multiple location needs, it would quickly become too expensive and out of our budget.  Reasons as to why this software was not suitable for our use and eliminated from consideration besides price are discussed here.

Aesthetic Record

Eliminated after demo due to price, $199 per user, per month, plus, a choice of onboarding and training plans. $199 activation fee, and utilize their free training resources to setup your account. Or partner plan, onetime $300, and receive 180 minutes of video, and a recording of the sessions, or configure and deliver pricing starts at $1,250. Ongoing support is $150 per month allowing for two telephone calls each month or $250 for three 45-minute video calls, as needed.  Otherwise, chat support is offered seven days a week. No phone support.

Care4software

Care4software is much more than EMR software. It’s HIPAA compliant evidence-based practice case management software that includes a tattoo removal module.  The case management component is intended to support many departments and services beyond a tattoo removal clinic. We really liked this software and felt it fulfilled all of our requirements. However, its price, which is noted and explained at their website, far exceeds our budget. We did sit for a demo and had our follow-up questions answered, though. Time with the staff at Care4software was extremely useful in understanding what we should look for in EMR software, and was very helpful in constructing what we have referred to as our “must-have” list. They were very generous with the time they offered us and very sincere in being sure all of our questions were answered.  This case management software, which includes a tattoo removal clinic module, is used by Homeboy Industries. Their tattoo removal clinic sees about a thousand people each month. We learned that Care4software is frequently sponsored by a philanthropic entity on behalf of the end user which is the case for Homeboy Industries.

Clinicea

Eliminated after demo due to price, $89 per user, per month or $44.50 per part-time user, per month, for the plan we considered. Setup charge ranges from $749 to $ 2,299 depending on the plan you choose.

DrChrono

Eliminated first round, due to price. We did not sit for a demo.  $200 to $260 per provider, per month.

eClinical Works

Eliminated first round, due to price. We did not sit for a demo.  $499-$599 per provider per month.  They also offer a per encounter plan. There are no additional onboarding/start-up fees. They do ask for a one-month deposit. The billing cycle doesn’t start until the system is live, and the first month will then be covered by the deposit.

Kareo

Eliminated after demo due to price, $349 per month per rendering provider (MD DO), $174/month per NP, PA.  No onboarding or start-up fees. First year paid up front with month 13 and 14 at no charge and then month-to-month plan.

ModMed

Eliminated first round, due to price. We did not sit for a demo.  $1,300 – $1,400 per provider per month and a $9,000 – $11,000 implementation fee. Its $1,700 per provider, per month version, allows for patient self-scheduling (auto accept or manual). In some cases apparently they offer a Locum feature which allows more than one provider to use the same login. Although we only came across four practices using this software on our survey calls, the company rep we spoke with stated 60% of the dermatologists use it.

Nextech

Eliminated first round, due to price. We did not sit for a demo.  It’s $500 – $600 per month, per provider, unlimited otherwise. There is a onetime $2,000 implementation fee, and training is recorded for future use.

Patient Now

Eliminated first round, due to price. We did not sit for a demo. $499 per month, up to 15 users. $999 training and  set-up (create templates, users, user permissions, etc.) For better photos – Rx Photo: $175 per month, unlimited users, but only 3 can be logged in at a time. Rep shared that Rx Photo is only needed for plastic surgery or cool sculpting where exact pictures are required. The photo option in Patient Now is fine for tattoo removal pictures.

Praxis

Eliminated first round, due to price. We did not sit for a demo. $9,995 flat fee for the first year or $259 per month over 48 months. Additional providers are $4,995 for the first year or $105 per month for 48 months. The second year and ongoing, it is $130 per provider, per month. A non-provider is $30 per person, per month.  Reminder scheduler is an additional $48 per month. Support included the first year, then $100 per month, per provider, and $50 per month, per midlevel staff, starting in year two. Additional training is available at $50 per month.

Zenoti

Eliminated after demo due to price. Base price is $450 per month, per location with a one-year contract; two-way texting is an additional $150 per month per location. No discounts if paid in advance annually.  Onboarding is $1,500 and covers the training.
